ASR keeps you posted about checklists so nothing quietly slips. This article lists the notifications you may receive and what each one is asking of you.
The notifications
Checklist due soon — a checklist hasn't been completed yet and will be missed soon. Complete it before its closing time. This is sent when the template has a reminder set under Alert before close (hours).
Checklist missed — a checklist wasn't completed before its deadline. Review it and take any follow-up action. If the check was done on paper, you can still record it.
Checklist completed — a checklist has been completed and is ready for review. Sent to managers and admins rather than the person who completed it.
Checklist action assigned — an action raised from a failed checklist task has been assigned to you. Deal with it and close it off under Work > Actions.
Who gets what
Due soon and missed go to the person the checklist is assigned to, and to the site manager.
Completed goes to the site manager or an organisation admin, so someone reviews the result.
Action assigned goes to the person named as the action owner.
Where to see them
Notifications arrive by email and also appear in your notifications list inside ASR. Emails include a button that takes you straight to the checklist, so you can act without hunting for it.
Reducing noise
Getting more reminders than you need? A few things usually help:
Check the responsible person on the template. If checks are assigned to a named individual who has moved on, reminders keep going to the wrong place. Assigning by Role instead keeps them with whoever holds the job.
Review your closing times. A window that's too tight generates avoidable "due soon" and "missed" alerts.
Pause schedules for closed sites. Use the Schedules tab under Checklist Templates to pause generation while a site is shut, instead of collecting missed checks.
Adjust or remove the reminder. Alert before close (hours) is optional — leave it blank if a check doesn't need chasing.
