How to schedule recurring checklists and set who's responsible

Make checklists appear automatically at the right site on the right day, and choose who has to complete them.

A schedule is what makes checklists appear on their own, at the right site, on the right day. This is the Details step of the template builder — the last step when you create or edit a template.

Go to Standards > Checklist Templates, open a template, choose Edit Template, then go to the Details step.

Set who's responsible

Under Responsible person, choose who should complete the checklists this template creates:

  • Anyone — any team member can pick it up. Good for shared shift checks.

  • Specific user — one named person. Choose them under Select user.

  • Role — whoever holds that role at the site. Choose from Client Admin, Area Manager, Site Manager or Team Member.

Assigning by Role is usually the better choice for recurring checks, because the checklist keeps going to the right person when staff change. More senior roles can also cover checks assigned to less senior ones.

If the template covers several sites, use Configure per site to set a different responsible person at each site, or Copy same for all sites to apply one choice everywhere.

Turn the schedule on

Under Checklist Scheduling, switch scheduling on. Then set:

  • Start date — the first day the checklist should appear.

  • End date (optional) — leave blank to keep it running indefinitely.

  • Opens at — the time of day the checklist becomes available. Before this time it sits quietly in the background.

  • Closes at — when it's too late to complete. Choose Not set (stays open), End of day, or a set number of hours after opening.

Need the same check more than once a day, for example morning and evening temperature readings? Choose Add time to add another opening time, each with its own closing time.

Choose how often it repeats

Set Repeats to one of:

  • Daily

  • Weekly — then pick the Days of week it should run.

  • Monthly

  • Quarterly

  • Half Yearly

  • Yearly

  • Every N days — then set Repeat every (days), for example every 10 days.

If you leave this as Does not repeat you'll see a reminder that a value is needed to set up a recurring schedule. The template will still work — you'll just need to create its checklists by hand.

Daily schedules respect each site's operating days, so sites don't get checklists on days they're closed.

Add a reminder before closing

Use Alert before close (hours) to nudge the responsible person if the checklist hasn't been completed yet. Setting it to 2, for example, sends a reminder two hours before the checklist closes.

Save with Save template.

What happens next

ASR prepares checklists ahead of time and makes each one available at its opening time, for every site (and location) the template covers, assigned to the responsible person you chose. Nobody has to remember to create them.

Schedules stop automatically when they pass their end date, and are skipped for templates that are archived or still in draft.

See and pause your schedules

Go to Standards > Checklist Templates and open the Schedules tab for a calendar of everything that's set to recur.

You can pause schedules from here — useful when a site closes for refurbishment and you don't want missed checks piling up. Checklist generation is suspended for as long as the pause lasts.

Changing a schedule later

Edit the template and adjust the Details step at any time. Changes apply to checklists created from then on; checklists that already exist keep the times they were created with.
