Every checklist carries a status badge that tells you where it stands. This article explains what each one means and how to filter by them.
The statuses
Draft — created ahead of time but not open yet. It will become available at its opening time. There's nothing to do.
Upcoming — due on a future date.
Due Today — due today and not yet complete. This is what needs your attention.
In Progress — being worked on, with no closing time set.
Completed — submitted, with no issues recorded. Read-only from now on.
Completed with issues — submitted, but one or more tasks were flagged. Worth reviewing to check the issues were dealt with.
Missed — its window closed before it was completed. It stays on the record as missed, and you can still record a paper completion against it.
Some checklists also show Manually Completed, which means the check was done on paper and recorded in ASR afterwards. See How to complete a checklist on paper.
Filtering the list
On Work > Checklists, use the filter buttons above the table:
Open — everything due today that still needs doing. Start here.
Completed — finished checklists.
With issues — completed checklists where something was flagged.
Missed — checks that weren't done in time.
All — everything.
You can also search by name, filter by category, location and date range, and sort by Name, Site, Frequency, Status, Opens at or Closes at by clicking the column headings.
Below the table, a summary counts how many checklists sit in each status — a quick way to see how your sites are doing.
Opening and closing times
Scheduled checklists have a window:
Opens at — when you can start.
Closes at — the deadline. After this the checklist becomes Missed.
Where the Closes at column shows No close date, there's no deadline and the checklist stays open until it's completed. Once completed, this column shows Completed with the time it was submitted.
Why can't I see a checklist I expected?
A few common reasons:
It's assigned to someone else. The Diary tells you when checklists are hidden for this reason, with a note about how many.
A filter is on. Try All, and clear any search text, category or date filters.
You're looking at the wrong site. Check the site selector.
It hasn't opened yet. Checklists in Draft appear closer to their opening time.
Template statuses
Templates have their own labels, which you'll see on the Checklist Templates page:
Draft — not finished, and won't generate checklists yet.
Published — live and in use.
Ad-hoc — no recurring schedule; checklists are created by hand when needed.
Archived — retired. No new checklists are generated, and past records are kept.
Active / Inactive — whether a recurring schedule is currently running.
