How to complete and submit a checklist

Find the checklist that's due, answer each task, add comments and photos, then submit it.

This is the everyday job: open the checklist that's due, answer each task, and submit it. Here's how.

1. Find the checklist

  1. Go to Work to see the checks due today, or go to Work > Diary for a day-by-day view.

  2. To search the full list instead, go to Work > Checklists. Use the Open filter to show what still needs doing, or type into Search checklists....

  3. Click the checklist to open it.

At the top of the checklist you'll see the site, the location, when it opened, when it closes, who it's assigned to, and a ring showing your progress.

2. Answer each task

Work down the list. How you answer depends on the type of task.

Yes / No and Pass / Fail

Tap the answer directly on the task row.

  • Choosing Yes or Pass completes the task straight away, so you can move on.

  • Choosing No or Fail records the answer and opens the task so you can explain what you found. See How to record an issue and raise an action from a checklist.

Numeric (for example a temperature)

Type the reading, or use the and + buttons. The value saves and the task completes on its own once you tap somewhere else. If the reading is a problem, tap Fail.

Some numeric tasks have an acceptable range set on them. If your reading falls outside it, ASR marks the task as an issue automatically.

Free text and Date

Click the task row to expand it, then type into Response or pick the date. Finish with Mark Complete, or Mark Issue Found if what you recorded is a problem.

3. Add comments and photos

Expand any task to reach its Comment box and add detail about what you did or saw.

A task with a red asterisk (*) next to its name needs a comment before you can complete it. If you try without one, you'll see "Please add a comment before completing this task."

To attach a photo, use the camera button on the task row. Photos are saved with the task and appear in the completed report.

For a note about the whole checklist rather than one task, use the Notes panel further down the page. It saves as you type.

4. Submit the checklist

The bar at the bottom of the screen tracks your progress, for example 8 / 10 tasks updated. Submit Checklist becomes available once every task has been answered.

  1. Choose Submit Checklist.

  2. Check the summary of Total tasks and Fully completed. If any tasks were flagged, you'll see a warning telling you how many.

  3. Add a Final note (optional) if you want to record any last observations.

  4. Choose Confirm Submission.

Submitting finalises the checklist and makes it read-only, so do it once you're happy everything is recorded.

If you try to leave the page with everything answered but not submitted, ASR will ask whether you want to Submit checklist, Stay on this page, or Leave without submitting. Nothing is lost if you leave — your answers are already saved.

5. After submitting

You'll see Checklist complete, and two options:

  • Download completed report — a PDF record of the checklist, including comments, photos, exceptions and any actions raised.

  • Return to Work (or Diary, or Checklists) — go back to where you came from.

Fixing a mistake

Answered a task incorrectly? Expand it and choose Revert. That puts the task back to unanswered so you can answer it again.

Once the whole checklist has been submitted it's locked. If it needs changing after that, ask an admin.

If you can't complete a task

Seeing "Only an admin or the assigned person can complete tasks." means the checklist is assigned to someone else. Ask an admin to reassign it to you, using Reassign in the menu at the top of the checklist.

Seeing "This checklist is read-only in its current state." means it has already been submitted, or its window has closed.
