Use a diary entry to record something that happened on site — a visitor, a delivery problem, a conversation, or anything else worth remembering. Diary entries sit alongside your checks on Work and Diary, so the day tells a complete story.
Anyone who can open Work can add a diary entry. You don't need to be an administrator.
From the Work page
Usually the quicker route when you're already working through today's checks and actions.
Go to Work.
Confirm the site in the bar above — the entry is linked to your current site selection when one site is chosen.
Choose Add, then Diary entry.
This opens the Add Diary Entry dialog with today's date already selected.
From the Diary page
Best when you're reviewing a particular day, or adding a note for a date that already has checks on it. The Diary page is available when checklists are enabled for your organisation.
Go to Work > Diary (or open Diary from the navigation).
Confirm the site and date range so you're looking at the right day.
Choose Add Entry.
This opens the same Add Diary Entry dialog. The date list shows days that currently have checks in your diary view — pick the day the note belongs to.
Filling in the form
The dialog is titled Add Diary Entry.
Date — required. On Work, this is today. On Diary, choose from the dates available in the list.
Note — required. Write what happened. The field shows the placeholder "Record something for this day...".
Finish with Add Entry. You'll see Diary entry added, and the note appears on the timeline for that date.
If you can't add an entry
Add Entry stays greyed out until both a date and a note are filled in.
On Diary, if the date list is empty, widen the date filter or switch site so checks for that day are visible, then try again. From Work, today's date is always available.
If Diary isn't in the menus, checklists may not be enabled for your organisation yet — you can still add a note from Work using Add > Diary entry.
What you'll see afterwards
Manual notes appear on the diary timeline for that day, with the time they were added. You can remove your own manual notes later if you made a mistake.
Some diary notes are created automatically when you record an issue or close an action from a checklist. Those system notes can't be deleted, and they keep a link back to the check they came from. See How to record an issue and raise an action from a checklist.
