How to limit checklist sections to specific sites and locations

Use section scope so one template can share core tasks across sites while only showing site- or location-specific sections where they apply.

One template can cover a whole group of sites when most tasks are the same, but a few questions only apply in certain places — for example a Spa wing, a specific kitchen, or one hotel in a chain.

Use section scope so those tasks only appear on the checklists where they belong. Everyone still works from the same master template, and reporting stays on that one checklist type.

You set this while creating or editing a template on the Tasks step. You need to be an admin, client admin, auditor or manager.

Template scope versus section scope

There are two layers:

  • Template sites and locations (Overview step) — which sites (and, if enabled, locations) can use this template at all.

  • Section scope (Tasks step) — which of those sites or locations see a particular section and its tasks when someone completes a checklist.

Leave a section’s scope empty to show it everywhere the template is allowed. Narrow it only for the sections that differ by site or location.

Set scope on a section

  1. Open Standards > Checklist Templates, then create a template or choose Edit Template.

  2. Go to the Tasks step and add or select a section (for example “Spa” or “Kitchen cold store”).

  3. Under the section heading you will see a Scope: line. By default it shows All sites and, if locations are enabled for your organisation, All locations.

  4. Choose Change to open Section scope.

  5. Under Sites, pick the sites that should see this section. Leave the list empty for all sites allowed by the template.

  6. If locations are enabled, under Locations pick the locations that should see this section. Leave empty for all locations.

  7. Choose Done.

The Scope line updates to show what you chose. If you pick more than three sites or locations, the label shortens to Multiple sites or Multiple locations so the row stays readable.

How it behaves when someone completes a checklist

  • Tasks in an unrestricted section appear on every checklist created from the template (within the template’s own site and location settings).

  • Tasks in a site-scoped section only appear when the checklist is for one of those sites.

  • Tasks in a location-scoped section only appear when the checklist is tagged with one of those locations (if the checklist has no location, the section still shows).

  • Site and location filters both apply — a section must match both to appear.

That means you can keep shared “core” sections for everyone, and add a small site- or location-specific section for the exception — without duplicating the whole template.

Preview before you save

On the Tasks step, use Preview to see how sections and their scope labels will look to someone completing the check. Scope badges also appear on the template’s definition view after you save.

Good patterns

  • Put shared questions in sections left as All sites / All locations.

  • Put the one or two different questions in their own section and scope that section only.

  • Keep section titles clear (“Spa — pool plant”, “Site B — goods in”) so reviewers know why a section is missing on some checklists.
