How organisation templates are approved and sent to sites

Approve & publish, Propagate to sites, and Re-amend organisation template.

Organisation templates are the master assessments for the whole organisation. Admins approve them and send copies to sites so every site starts from the same baseline.

Who this is for

Approve & publish is available to organisation admins. Other roles may view and help refine templates, but only admins can approve and send them out.

Approve and publish

  1. Open the organisation template from Standards > Risk Assessments (filter Scope to Organisation templates if needed). The site cell shows Org-wide.

  2. Complete the wizard steps so the template is ready.

  3. Choose Approve & publish.

  4. Choose which sites receive a copy: All active sites in this organisation, or Selected sites only.

  5. Confirm with Approve & publish.

The template badge moves to Approved. Sites receive site assessments they can refine and publish locally.

Propagate to sites again

After a template is already approved, the primary action becomes Propagate to sites when you need to push updates out again.

Be aware: organisation title, description, owner, review date, category, persons at risk, and risk scores overwrite existing site assessments on every sync for the fields that are managed at organisation level. Site-specific refinements that aren't overwritten remain, but plan propagations carefully.

Re-amend an approved template

To change an approved organisation template substantially, use Re-amend organisation template. That returns it to a draft-style state for editing before you approve and propagate again.

Archive

From draft or pending states you can Archive assessment when a template should be retired. Archived templates no longer drive new site copies.

How this differs from a blank site assessment

New assessment creates a blank assessment for a site (or context). It does not pick an organisation template. Template-based site rows appear after Approve & publish / Propagate to sites.
