Risk assessment statuses explained

Site and organisation status badges, risk bands, and review timing.

Status badges tell you whether an assessment is still being written, live, or retired. Organisation templates and site assessments use different labels.

Site assessment statuses

  • Draft — being written; not the live site record yet.

  • Active — published and in use. This is the live assessment.

  • Under review — a legacy label that still appears in filters; treat it like a live assessment in day-to-day use.

  • Archived — retired. Kept for history, not the current working copy.

Organisation template statuses

  • Org draft — the organisation master is still being prepared.

  • Pending approval — waiting in the approval path (you may not see a separate submit step; admins often go straight to approve).

  • Approved — approved as the organisation baseline; can be sent to sites.

  • Archived — retired organisation template.

The list Status filter focuses on site stages (Draft, Active, Under review, Archived). Use Scope: Organisation templates to find org masters by their badges on the rows.

Risk level badges

Separate from workflow status, each assessment shows a risk band: Critical, High, Medium, Low, or Not rated.

Review timing

Filter by review with Overdue or Due in 7 days. On the assessment itself, set Review interval (months) and use Record review date when you complete a check — see How to complete the risk assessment steps.

How status moves

  1. Create or receive a site assessment → usually Draft.

  2. Publish assessmentActive (version 1).

  3. Later edits → Publish new version keeps it Active with a new version number.

  4. Archive assessmentArchived.

Organisation templates move through Org draftApproved via Approve & publish, then can be re-amended or archived. Details in How organisation templates are approved and sent to sites.
