When you upload a file, ASR checks whether the content matches the area and type on the document. You stay in control — suggestions are offered, never forced.
When verification runs
It runs after you upload a file to a document that has an area and type set. For PDFs, ASR can read text from the file in the browser when possible. You'll briefly see Verifying document….
Possible outcomes
Match — toast: Document verified. The file content matches the selected FSMS area and document type. Nothing else to do.
Pending — toast: File uploaded. Verification is in progress… Wait for the overlay to finish. If it takes too long: Verification is taking longer than expected…
Unavailable — toast: File uploaded. Verification of FSMS area and document type was not available. The file is still uploaded; classification stays as you set it.
Mismatch — dialog titled Document verification, comparing Current with Suggested (from file).
When there's a mismatch
In the Document verification dialog you can:
Apply suggested (or Applying…) — update the document to the suggested area and type.
Edit metadata — open the full metadata form and set classification yourself.
Cancel — keep the current area and type, and keep the uploaded file.
If confidence is low, an amber warning explains that the suggestion may not be reliable. Prefer checking the file yourself before applying.
If verification fails for a version, the versions list can show a Verification failed badge.
Potential duplicates
If ASR thinks this file is already in the store, you'll see Potential duplicate detected.
Keep both — leave both documents as they are.
Delete one (archive previous) — archive the earlier version so the new upload becomes the one you keep.
Review date found in the file
If the file mentions a next review or expiry date, ASR may ask Update next review date? or Review date found in file.
Use date from document — set the document's Review due date to the date found in the file.
Keep current date / Dismiss — leave the metadata as it is.
Remove review date — clear the review due date if one was set.
Tips
Set area and type before or soon after upload so verification has something to check against.
You can always correct classification later with Edit metadata.
Verification helps consistency; it does not replace your judgement for audit-critical documents.
