To get a file into the document store you create the document record, then upload the file. This article walks through both steps.
Create the document
Go to Standards > Documents.
Choose Create document.
The dialog is titled Create document. Fill in:
Name — required. Placeholder: Document name.
Area (optional) — choose from Select area. This is the FSMS area the document belongs to.
Type (optional) — only available after you pick an area (Select an area first / Select type).
Site (optional) — All sites (org-wide), or a specific site.
Finish with Create (or Creating… while it saves). Cancel closes without saving.
You're taken to the new document's page. Until a file is uploaded, the Current document card shows No file uploaded yet.
Upload the first file
On the document page, use the drop zone on the right — Drop a file here to create a new version, or browse to select.
Choose Upload file, or drop a file onto the card.
Confirm with Upload file, or use Choose another file / Cancel if you picked the wrong one.
While the upload runs you'll see Preparing… then Uploading….
Accepted types: PDF, Word (.doc, .docx), spreadsheets (.xls, .xlsx), and images (JPEG, PNG, GIF, WebP). Maximum size is 50 MB.
Activate or keep as draft
After a successful upload, ASR asks Activate the new version?
Activate — makes this version Current (active). Any previous current version becomes superseded.
Keep as draft — stores the file as Draft without replacing the current version.
For a brand-new document you'll usually choose Activate so the file is the live version.
What happens after upload
ASR may verify the file against the area and type you set, and may offer to update the review date if it finds one in the file. See How AI verification works when you upload.

If you can't create or upload
Create document and the upload controls are hidden for viewers.
Members and site managers can only create or upload for sites they're assigned to (and org-wide, where allowed).
If the organisation has no document categories set up yet, you may see No categories configured. — ask an administrator.
