How to find and filter your actions

Search, filter and sort the Actions list, read the status colours, and see only your own actions.

The Actions list is where you find any action across your sites. Go to Work > Actions.

What you see first

The list opens filtered to Open, so you're looking at live work rather than the full history. The count above the table tells you how many actions match your filters out of the total, for example 12 / 47 open.

Actions are sorted by due date with the soonest first, so the most urgent work is at the top.

Search

Type into Search actions... to search across the action title, description, owner name, site, and the name of the checklist, audit or risk assessment it came from.

Filters

Six dropdowns sit above the table:

  • StatusAll statuses, Open, Pending, Closed, Overdue.

  • SeverityAll severities, Critical, Major, Minor. Severity comes from audit findings, so this narrows the list to audit-raised actions.

  • OwnerAll owners, Unassigned, or a specific person.

  • SiteAll sites or one site.

  • Location — appears once you've picked a site, if that site has locations set up.

  • AuditAll audits, No audit, or a specific audit. Useful for working through the findings from one inspection.

When any filter is on, a Clear all filters option appears. On a phone the filters collapse behind a Filters button, with a badge showing how many are active.

Seeing only your own actions

There isn't a separate "my actions" view. Set the Owner filter to your own name and the list becomes exactly that. Your Work page is the other good place to look, since it's already focused on you.

Sorting

Click any of these column headings to sort by it, and click again to reverse the order:

  • Action — alphabetically by title.

  • Site

  • Owner

  • Due Date

  • Status

On smaller screens some columns are hidden to keep the table readable — the key details still appear underneath the action title.

Reading a row at a glance

Each row carries a coloured dot showing how the action is tracking:

  • Red — overdue.

  • Amber — due within the next seven days.

  • Green — on track, due more than a week away.

  • Grey — closed, or no due date set.

Overdue rows are also tinted red with the due date in red, so they're hard to miss.

Underneath the title you'll see a badge for where the action came from (Audit, Checklist, Risk assessment, Site action, Document store or Incident), the record it relates to, and the start of the description.

An action with no title shows as Untitled follow-up — worth opening and giving a proper name.

Opening an action

Click the row. Most actions open their own page where you can edit, comment and close them.

Incident actions behave differently: clicking one takes you to the event it belongs to, because that's where incident work is managed.

Empty results

  • "No actions match your filters" — filters are hiding everything. Try Clear all filters, or set Status to All statuses.

  • "No actions found. Great job!" — genuinely nothing outstanding.

The list reads filters from the address, so you can bookmark a view you check often:
