How to update, close and reopen an action

Record progress, close an action with a comment and evidence, and reopen it if the work wasn't finished.

This is what you do with an action once it's yours: record progress, close it when the work is done, or reopen it if it wasn't.

Open the action

Go to Work > Actions and click the action, or use the link in the email you were sent. Back to actions at the top takes you back to the list.

Check the Overview

The Overview card shows where the action came from, plus:

  • Site and Location

  • Owner

  • Due date, or Not set. If it's overdue, the date is shown in red.

Where the action came from an audit, View audit item takes you to the finding behind it.

Edit the details

Use the Update details card to change the Title, Description or Due date, then choose Save changes. Handy for adding detail to a thin description, or pushing out a deadline that was never realistic.

A title is required. This card only appears while the action is open — closed actions are a record and can't be edited.

Leave a comment

The Comments card is for keeping people informed without changing the action's status. Type into Add an update for the team… and choose Add comment. Each comment is timestamped.

Some actions show "Comments are not available for this action." — those ones aren't set up for discussion, so record what you need in the resolution comment instead.

Record progress without closing

Use this when work has started but isn't finished, so nobody thinks it's been forgotten.

  1. Go to the Resolve action card.

  2. Write what's happened in Comment. This is required — until you do, you'll see "Add a comment to continue."

  3. Choose Mark as pending.

You'll see Progress saved — action remains open. The status becomes Pending and it stays on the open list.

Close the action

  1. In the Resolve action card, write what was done in Comment.

  2. Attach evidence if it helps — a photo of the repair, a copy of a certificate. Optional, but it's the difference between saying it was done and showing it.

  3. Choose Close action.

You'll see Action closed successfully. Write the comment for someone reading it in six months who wasn't there: "Cracked tile replaced by Facilities on 14 March" beats "done".

After closing

The Resolve action card is replaced by a Closure card showing:

  • Closed with the date and time

  • Closed by — who closed it

  • Closing comment, or No closing comment available

  • Evidence — any files attached

Reopen an action

If the work wasn't finished, or the problem came back, choose Reopen action on the Closure card. You'll see Action reopened, and it returns to the open list with its history intact — nothing is overwritten.

Closing an action from somewhere else

You don't always have to come to this page:

  • From the checklist task that raised it, using Close action and a Resolution comment (required).

  • From an audit's review screen, using the action cards there.

  • Several at once from the Actions list — see How to update several actions at once.

If you can't update it

  • "Action not found." on an incident action is expected — those are managed on the event. Go to the event instead.

  • Actions attached to an audit can't be deleted once the audit is published or closed, since they're part of that audit's record. You can still close them.
