How to update several actions at once

Select multiple actions to close, reopen or reassign them together after an inspection or a contractor visit.

After an inspection you might have twenty actions to hand out, or a batch that were all dealt with in one visit. Bulk actions let you close, reopen or reassign them together instead of one at a time.

Select the actions

  1. Go to Work > Actions.

  2. Narrow the list first — filter by Site, Audit or Owner so you're only looking at the ones you mean to change.

  3. Tick the checkbox on each action, or use the checkbox in the header to select everything currently shown.

Buttons appear above the table as soon as anything is selected. Note that the header checkbox selects everything matching your current filters, so it's worth checking the filters before using it.

Checkboxes are hidden on very narrow screens, so bulk work is easier on a tablet or computer. Incident actions have no checkbox at all — they're managed on their event.

Close several actions

  1. Select the open actions you want to close.

  2. Choose Close N actions.

  3. Write a Resolution comment (required). It's applied to every action you're closing, so keep it accurate for all of them.

  4. Choose Close N actions to confirm.

Because the comment is shared, this suits genuinely related work — "All items addressed during the contractor visit on 14 March" is fine. Where the actions were resolved differently, close them individually so each gets its own explanation and evidence.

Bulk closing doesn't attach evidence. If you need photos or certificates against a specific action, close that one from its own page.

Reassign several actions

  1. Select the open actions.

  2. Choose Reassign N actions.

  3. Pick the new owner from the list.

All of them move to that person and they're notified. This is the quick way to hand over a workload when someone goes on leave or changes role.

Reopen several actions

Select closed actions and choose Reopen N actions. Useful when a batch was closed prematurely, or a repeat inspection shows the work didn't hold.

Notes

  • The buttons only offer what makes sense for your selection — closing and reassigning apply to open actions, reopening to closed ones. You can select a mix and each button acts on the relevant part.

  • The selection clears once the change is applied.

  • There's no undo, but nothing is destroyed: closed actions can be reopened, and reassigned actions can be reassigned again.
