Your role decides what you can see and change in ASR. If a button described in a help article isn't there for you, your role is usually why.
The roles
These are the roles used at a client organisation, from broadest access to narrowest.
Admin
Full access across the organisation and every site. Can invite people, set roles, manage sites, create and edit templates, and delete records. Usually a small number of people.
Client Admin
Organisation-wide access for the person running compliance day to day. Can create and edit checklist templates, create actions, manage users and see all reporting.
Area Manager
Organisation-wide access, aimed at someone overseeing several sites. Can see and act across all sites, and create one-off checklists.
Site Manager
Access limited to their assigned sites. Can complete checks, manage actions and create one-off checklists for their own sites — but not create or edit templates.
Team Member
Access limited to their assigned sites, focused on doing the work. Completes checklists, records issues and closes actions assigned to them. Can't create templates or schedules.
Consultancy roles (If you have a food safety consultant)
Consultancy roles (If you have a food safety consultant)
People working for a consultancy rather than the organisation itself have their own roles:
Auditor — carries out audits at client sites and raises findings.
Consultant Manager — oversees the audit programme across clients.
Both have organisation-wide access at the clients they work with.
Organisation-wide versus site-restricted
This is the distinction that matters most in practice, and ASR states it plainly when someone is invited:
"Admin, Client Admin, and Area Manager have organisation-wide access. Site Manager and Team Member can be restricted to specific sites."
So a Site Manager or Team Member only sees checklists, actions and documents for the sites they've been assigned to. Nothing is broken if they can't see a site — they haven't been given it.
What each role can do
The most common questions, in one place:
Complete a checklist — anyone it's assigned to, plus admins. Where a template is set to Anyone, any team member can pick it up. Viewers can't.
Create or edit a checklist template — admins, client admins, auditors and managers.
Create a one-off checklist — the above plus site and area managers. Site managers only for their own sites.
Create an action from the Actions page — admins and client admins. Everyone else can create one from Work > Add > Action.
Close or reassign an action — members of the organisation, plus the auditor for audit-raised actions.
See Reporting — client admins, site and area managers, and auditors.
Invite users and manage sites — admins and client admins.
Changing someone's role or sites
Administrators do this in Settings > Users and Roles. See How to invite people and set their access.
Changing a role takes effect immediately, though the person may need to refresh their browser to see new menu items appear.
"You don't have access to this page."
You've reached something your role doesn't cover. Usually it's a link from a colleague with broader access, or a bookmark from a previous role. If you think you should have access, ask your administrator to check your role and site assignments.
